QR intake turns the patient’s phone into the intake terminal. They scan a printed sticker at your counter, WhatsApp opens with a prefilled code, they send it, and Kashfy adds them to your intake queue automatically - name, phone, and arrival time already filled in.
QR intake is available for both Lab and Radiology modules. Each branch gets its own QR - so scans are always tagged to the correct location.

How it works

Patient scans the QR at your counter

The sticker encodes a short URL like kashfy.site/s/AB4X7Q. Any phone camera opens it.

WhatsApp opens with a prefilled message

They see a friendly hello and a 6-character code. They just tap Send.

Kashfy matches the code to your branch

The webhook parses the code out of the incoming WhatsApp message and creates an intake in the correct branch and module (lab or radiology).

Card appears on staff dashboard, marked Arrived

Staff see a new card in the intake queue immediately - patient name is pulled from their WhatsApp profile, phone is captured automatically.

What gets captured

When a patient arrives via QR, the intake starts with:
  • Patient name from their WhatsApp profile
  • Phone number automatically
  • Arrival timestamp
  • Branch it was scanned at
  • Kind - lab or radiology, depending on which QR they scanned
Any prescription photos the patient sends after scanning attach to their intake card too, so staff can see what tests were ordered without having to ask.

Prerequisites

QR intake only works when:
  • WhatsApp is connected for your organization (see WhatsApp setup)
  • The branch has an intake short-code generated (contact support to enable)
If either isn’t set up, the QR redirects to the marketing site as a graceful fallback - it won’t show an error page to the patient.

Fallback: manual intake

If a patient can’t or won’t scan the QR, you can always add them manually from the intake queue. QR and manual intakes live in the same queue - the only difference is the QR badge on scanned cards.
